Faxed and online registrations are welcome with credit card payment only. Do not mail the original form of a previously faxed registration or online registration, as this results in duplicate charges to your credit card. Registrations must be received by 11:59 p.m. (PST) on February 22 to qualify for the Early-Bird rate or by 11:59 p.m. (PST) on April 4 to qualify for the Advance rate. ACCESSIBILITY The AIA is committed to providing access to all individuals attending the convention. The AIA will gladly provide sign language interpreters, hearing devices, and electric scooters upon your request. If you require special assistance, please note your needs on your registration form, no later than April 4, to enable the AIA to accommodate those needs. An AIA staff member will contact you to discuss specific arrangements. Arrangements cannot be guaranteed for registrants whose requirements are not indicated by this deadline.
PAYMENT OF REGISTRATION FEES Registration fees must accompany the registration form.The AIA convention registration agent, Laser Registration, cannot process registration forms received without payment. Payment must be by check, MasterCard,Visa, or American Express (other credit cards are not accepted). When using a credit card, please complete all card information specified on the registration forms to ensure prompt handling. When paying by check, please ensure the check, payable to the American Institute of Architects (drawn on a U.S. bank in U.S. funds), accompanies the registration forms. Purchase orders will be accepted only from federal, state, or municipal government agencies and state education institutions. Those federal, state, or municipal employees who use a personal credit card must receive reimbursement from their employer directly. The AIA cannot refund fees to personal credit cards based on a subsequent purchase order. Note: Registrations will not be processed without payment.
REGISTRATION CONFIRMATION Registrations are processed in the order they are received. The AIA convention registration agent, Laser Registration, will acknowledge receipt of registration forms within three business days for faxed and mailed registrations. Online registrations will be confirmed immediately via email. If you register on or before April 4, and have provided a full address and complete payment, your convention badge and registration materials will be mailed to you. Note: Do not call for confirmation unless you have not received a confirmation notice within the above time frame. If so, then e-mail aia@laser-registration.com or call 800-242-3837.
REGISTRATION CHANGES To change your registration category, you must make your request in writing by contacting the AIA convention registration agent, Laser Registration, aia@laser-registration.com. Changes to continuing education programs, preconvention workshops, tours, and events can be made online by using the personal URL address provided in your confirmation letter. Changes cannot be made once your registration packet has been mailed. If you need to make changes after you receive your registration packet in the mail, you must make them on-site in the AIA registration area.
BADGES If your registration is received on or before April 4, you will receive, in the mail, final documentation of your convention agenda, including confirmed itinerary, badge, tickets, and a claim check to pick up a registration packet when you arrive in Boston. If your registration is received after April 4, your packet will be waiting for you on-site. Changes will have to be made on-site once your registration packet has been mailed. The convention is “ticket-free” for all but a few events. Your convention itinerary will include location information in lieu of tickets. Badges and itineraries will not be sent in advance to those registering by purchase order. Purchase orders must be presented on-site to receive your badge and registration packet.
CANCELLATION/REFUND POLICY Refunds for registration fees—less a $50 service fee—will be given for cancellation requests received in writing on or before April 4. No refunds will be given for registrations of $50 or less. Refunds for preconvention workshops, tours, and events will be given without penalty for cancellation requests received in writing on or before April 4. No refunds will be made for cancellations received after April 4 or no-shows. Donations to the outreach and educational initiatives of the AAF are not refundable. Substitutions are welcome. Written requests must be sent to the AIA convention registration agent and postmarked on or before April 4. Credit card refunds will be processed immediately. Check refunds will be processed within six to eight weeks following the convention. The AIA and BSA reserve the right to cancel any limited-capacity programs if the minimum preregistration is not met. If such a cancellation occurs, those fees will be refunded automatically.
CHILDREN AT AIA EXPO2008 All children must be registered as Guest or Expo Only, have a badge, and be accompanied by an adult at all times. All children, regardless of age, must also be registered for the tour or event they plan to attend. For safety reasons, strollers are not permitted on the expo floor at any time; baggage check will be available to store strollers at a nominal fee. Infants may be carried by backpack or sling. For your convenience, child care is available on-site; advance registration is highly recommended as space is limited. Children under 18 are not allowed on the expo floor during move-in and move-out.
POLICY REGARDING EXTRAORDINARY CIRCUMSTANCES We’d like to say a word about rare circumstances that may affect the obligations of the American Institute of Architects and various AIA components (including their respective officers, directors, employees, and agents), contractors, exhibitors, vendors, service providers, and others involved in the AIA 2008 National Convention and Design Exposition. These circumstances include emergency conditions resulting from acts of God, disasters, floods, acts of war with terror or other acts of enemies, strikes, civil disorder, curtailment of transportation facilities, or other emergencies or events beyond our control.
In the event such emergency conditions should make it inadvisable, unsafe, illegal, or impossible to provide required accommodations and/or meeting facilities, hold the convention, or travel to the convention, the AIA reserves the right to cancel the convention and all related activities.We have never cancelled a convention in recent memory, and would not anticipate doing so now except under extraordinary circumstances.
The AIA and others involved in the convention disclaim liability for any personal injury or property damage that result not from their actions, but rather result from emergency conditions.
In the event that any convention-related meetings, classes, continuing education programs, tours, exhibits, receptions, gatherings, or other events or activities are cancelled or curtailed (whether due to emergency circumstances or otherwise), the following will apply:

| » | They will not, however, be liable to you for any greater dollar amount, nor will they be liable for special, consequential, exemplary, or other damages |
